Automatic Course Import Feature

This article explains how to configure and manage the Automatic Import feature, which schedules course imports based on a set time after the course end date.

The Automatic Import feature allows you to schedule when courses should be imported by, after the course has ended. Each month on the 15th, the scheduler will run and check for any courses that meet the requirements defined in the schedule. Once a course has met the requirements, the courses will be automatically imported into your archiving instance.

Creating a Schedule

  1. On the Imports page, click the Edit Icon on an Integration Tile

  2. Scroll to the Automatic Import By End Date section

  3. Enter a number for the Length of Time

  4. Select either Months or Years

  5. Click Save

Example Schedule

  • Length of time: 6

  • Time Unit: Months

With these requirements, courses will automatically import 6 months after their end date, once the scheduler is ran on the 15th of the month.

FAQs

How many schedules can I have to automatically import courses ?

You can have one schedule per an integration in your Brightspace or Canvas archiving instance.

How can I tell if my integration has a schedule?

The schedule will be displayed on the integration tile on the Imports page.

How can I tell when courses have automatically imported?

Automatically imported courses will appear in the Import Runs list. The corresponding import run will indicate that the courses were brought in via the schedule.

Once requirements in the schedule have been met, when will my courses import?

The scheduler runs on the 15th of each month. If a course meets the import requirements at that time, it will be imported during that run.

My current integration is set to subaccount 1, there are courses though that we do not want imported. How can we prevent those courses from being imported?

You can either:

  • Update your existing integration to point to a more specific subaccount, or

  • Create a new integration that targets only the subaccount from which you want courses automatically imported

What happens if I reach the contracted course count when the scheduler is running?

Courses will continue importing until the limit is reached. Any remaining eligible courses will remain in queue status. A representative from K16 will then contact you to review your course limit and discuss next steps.

How do I remove the schedule from the integration?

To remove a schedule, simply clear out the value in the length of time input field and save the integration.
