Why should institutions archive?

Archiving older course content outside the primary LMS is a best practice for securing data & providing a cleaner workspace.

Can archived Canvas courses be easily accessed and restored?

Admin users can access courses quickly to retrieve historical course content & student data or restore a Canvas course.

How many courses can be archived? What is the typical timeframe?

Typically, courses are kept in the LMS for three years, with archiving starting in the fourth year. There is no limitation based on size of courses or amount of data. Archive instances are only limited by course count in your subscription.

How long can your archived content be retained?

Retention timelines are at the institution’s discretion

Does K16 Solutions pull the actual course from the LMS?
Course content and student submission data are copied from Canvas, so actual courses are not removed from Canvas.

Who has access to archived courses? Who can delete content?

Each institution determines user access levels and roles. Only the institution’s admin users can delete content in a separate step.

Is it possible to export a CSV with archived course IDs and enrollments?

The solution provides a “download CSV” link.

What security measures are included with your Canvas Archiving instance?
All Canvas Archiving instances are housed “in region” using Amazon Web Services (AWS). Secure access is designated to K16 Solutions and to your institution’s users (see Users and Roles).

Is there an SSO function? MFA?

Users can enable SSO. K16 can enable MFA upon client request.
