How to Manage Imports

Need help with importing, pausing, or canceling an import? Click the sections below to see step-by-step instructions.

Start a New Import

To start a new import, follow these steps:

  1. Go to the Imports page.

  2. Click on the + New Import link.

    • You'll be taken to the New Import page

  3. On the New Import page, select the Source Integration from the dropdown menu.

  4. Choose how you want to import courses. You can select one of the following methods:

    • Terms/Semesters: Select a term/semester to import all courses in that term/semester.

    • CSV Upload: Upload a CSV file with the Course IDs.

    • Course ID(s): Manually enter the LMS Course IDs.

    • Course Search: Search by course name, course code, or SIS ID.

    • Course End Date: Import courses that end before a specific date.

  5. After making your selections, click the Start Import button.

After you click Start Import, the import will begin. You'll be redirected to the Imports page, where you can check the status and details of your import.

NOTE:

  • Terms/Semesters: if a term/semester was created after the integration to the LMS. Click the “Refresh Terms/Semester”.

  • Course ID(s): For importing a large number of Course IDs, it is recommended to use CSV Upload.

Pause or Resume Imports

You can pause and resume import runs directly from the Imports page. This is helpful if you need to temporarily stop the process without canceling it.

There are three ways to pause an import:

  1. Pause All Imports
    This option pauses all current import runs in progress.

    • Click the Pause All Imports link located above the Integration tiles.

  2. Pause Imports by Integration:
    This stops all imports that are using the integration.

    • Find the integration tile you want to pause.

    • Click the Pause Imports link on that tile.

  3. Pause by Individual Import Runs
    This pauses a single import run.

    • In the Import Run list, find the run you want to pause.

    • Click the Pause icon next to it.

When an import import is paused, a Resume Import link will appear. Click the Resume link to continue the import.

NOTE:

  • When you pause an import, any courses already being processed will finish, but courses still in the queue will be paused.

Canceling an Import

If you need to stop an import completely, you can cancel it — but you’ll need to pause it first.

To cancel an import:

  1. Pause the import you want to cancel (see previous steps).

  2. Once paused, find the import in the Import Run list.

  3. Click the X icon next to it.

NOTE:

  • Canceling an import stops it permanently.

  • Once canceled, it cannot be resumed, and any courses that weren’t processed will not be imported.


Import Run List Overview

The Import Run list is located on the Imports page, just below the integration tiles. It provides an overview of each import run, including:

  • Import status (e.g., Queued, Processing, Completed)

  • Import method used

  • Who started the import

  • The date the import occurred

This list helps you track the progress and results of each import.

Import Status Definitions

Status

What it Means

Queued

Courses waiting to be archived

Processing

Courses currently being archived

Completed

Course was successfully archived.

Failed

Courses could not be archived. The course could not be archived. The K16 team is notified and will work to fix the issue.

Not Found

Courses that could not be located.

Skipped

The course was already archived in a previous import, so it was skipped this time.

To see full details for an import, including all courses and their individual statuses, click any row in the Import Run list. This will take you to the Import Details page.

What Happens When a Course Fails to Import?

If a course fails during import, here’s what to expect:

  • The status will show as Failed, K16 Notified.

  • Our team is automatically alerted and begins investigating the issue.

  • Once the issue is fixed and the course reimported, the status will update to Failed Reimported.

  • You will see a link to the new import run where the course was successfully reimported.

  • When K16 reimports the course, the Import Run list will show that the import was completed by the K16 Admin.

Failures can happen if something new or unexpected is detected in the course data. Our Software Engineers review these cases carefully to ensure imports continue working smoothly.
